Cityworks Making Fleet Maintenance Easier and More Efficient in St. John’s County, FL

Last updated: Friday March 05th 2010

County Realizes Cost Savings and Enterprise Advantages of this Flexible Solution

Sandy, UT — Fleet Maintenance is now easier and more efficient as a result of implementing Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  The County has experienced significant cost savings by implementing Cityworks into Fleet Maintenance and are now reaping the benefits of having all divisions within the Public Works Department utilizing Cityworks as their single, unified solution.

Prior to using Cityworks, St. John’s County Fleet Maintenance was using a DOS-based application to track fleet activities and expenses.  Because the remainder of the County’s Public Works Department was already using Cityworks and experiencing great results, when it came time to upgrade their outdated application, they recognized the benefit of using Cityworks.  They were able to transition the Fleet Maintenance Division because of their previous experience in knowing Cityworks possessed the flexibility they needed.  It was also the most economical choice as they were able to utilize their Cityworks Enterprise License Agreement (ELA) – a cost-effective Cityworks solution for municipalities of 100,000 or less.

Now Cityworks provides the Fleet Maintenance Division the means of creating and tracking work orders on over 1700 items of equipment ranging from lawn mowers to heavy equipment bulldozers owned by six different County agencies.  From mechanics to office personnel, Fleet Maintenance staff attach County Vehicle (CV) numbers, repairs, and repair history to work orders.  Work orders allow the division to track costs associated to CV numbers for billing the six County agencies for labor and materials used to install, repair, and maintain their equipment over a specified time period.

St. John’s Fleet Maintenance has experienced many positive results from their Cityworks implementation.  The division now has a more efficient way of reporting performance measures.  The County has experienced significant cost savings as all Public Works divisions are now using a single, unified system, a cost benefit for the County since they utilize the Cityworks ELA.  In addition, the County realized cost savings in not having to upgrade their outdated application with a completely new system.  The Public Works Department is also in the early stages of implementing Cityworks Server and Fleet Maintenance will begin using it at the beginning of the new fiscal year.

“The St. Johns County Public Works Department has benefited from using Cityworks as an asset maintenance management application for our transportation and stormwater assets,” states Rocky Agbunag, St. John’s County Public Works Asset Management Coordinator.  “We were faced with a decision to either continue or upgrade the previous fleet management application.  We knew Cityworks was flexible enough for this implementation; it was just a matter of being innovative to model Fleet’s workflow process.  Our implementation went well and exceeded our expectations.  I thought embracing the technology would be the biggest challenge of the implementation, but it became the easiest.  We can definitely tailor the software to our needs and it offered a lot of flexibility.”

“St. John’s County has been consistently implementing Cityworks further and further into their organization to work for their various Public Works’ needs over the years,” states Brian Haslam, President of Azteca Systems.  “Organizations that can utilize Cityworks across the board, like St. John’s has done, will no doubt reap the benefits and cost savings that only a unified system can provide.  The Cityworks ELA is a great way for municipalities to do this.  Our goal has been to provide a system that is flexible enough for users to adapt it to their individual needs throughout their organizations and I believe St. John’s is a great example of a client who has done just this.”

City of Coon Rapids, MN, Utilizes Cityworks for Property Management

Last updated: Saturday February 20th 2010

Various Property Needs are Accounted for by Uniquely Adaptable Software System

Sandy, UT — The City of Coon Rapids, Minnesota, found a solution for managing their vacant and rental properties as well as general upkeep needs in Cityworks, by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  Coon Rapids reports on the cost-effective, innovative nature of Cityworks and how it can be uniquely tailored to fit the needs of an organization.

Prior to deploying Cityworks, the Coon Rapids Housing and Code Enforcement Departments wanted to gain a better understanding of the impact vacant and rental properties had on city neighborhoods.  Since the Public Works Department experienced such great results using Cityworks, the City wanted to incorporate the program into the Housing and Code Enforcement Departments as well.  Now using Cityworks, service request and work order templates are created based on input received from staff, work orders are created on address points, and tasks are used to track the progress of properties with focus on vacant properties, rental properties, and general upkeep.

With Cityworks in place, City staff can view the status of a property in question at any time.  Prior to Cityworks, Coon Rapids was unsure of the number of vacant properties throughout the City.  Now, when vacant houses are reported, Public Works is notified and the property is entered in Cityworks triggering water shut-off to prevent damage from frozen pipes.  The first winter season, the number of homes with burst water pipes dropped substantially.

“Adapting Cityworks to fill the City’s unique needs is proving to be a cost-effective, innovative solution for Coon Rapids,” states Cindy Hintze, GIS Specialist at the City of Coon Rapids.  “Creative work order templates, tasks, custom fields, and custom inspections in Cityworks provide the City the information we need in a format that ca be easily retrieved, viewed, and shared.”

For rental properties, custom fields are used to capture information and tasks are used to track details about properties.  Using Crystal Reports, work order reports are created so rental property details can be reviewed at a glance.  For general upkeep needs, work orders for buildings and yards are created on address points within Cityworks mitigating issues such as weeds, overgrowth, debris, and structure maintenance.  In addition, the City has found Cityworks to be useful in informing citizens about planned projects for the upcoming year along with Housing and Code enforcement issues in their specific neighborhoods.

“Our unique and innovative approach to asset and maintenance management is clearly the differentiator in places like Coon Rapids,” says Brian Haslam, President, Azteca Systems.  “A non-modular, GIS-centric approach allows our customers to utilize Cityworks across a wide array of disciplines – from traditional outdoor, buried infrastructure to indoor facilities and property.Coon Rapids is a perfect example of how easy it is to apply Cityworks and without having to license individual modules, program flex-type technology, synchronize with GIS data or develop a costly integration.”

About Coon Rapids, Minnesota

The City of Coon Rapids, a northwest suburb of Minneapolis, is home to over 63,000 residents.  Over 50 parks and a 40-mile trail system, including some along the Mississippi River, are found in its 23.3 square miles.  The school system consists of 16 public schools and a two-year community college campus.  The Northstar Commuter train began operation in November 2009 to and from downtown Minneapolis with two stations in Coon Rapids.  With so much to offer its residents, the City of Coon Rapids is committed to sustaining a desirable community in which to live.

Cityworks Delivers Immediate Benefits for Greenville, SC

Last updated: Thursday February 04th 2010

Unique Implementation Approach Provides Solutions

Sandy, UT — The City of Greenville, South Carolina, experienced immediate improvements in workflow and reporting with its use of Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  Implementing the software through a unique method, the City took advantage of the flexibility of Cityworks to meet their specific needs and are already reaping the benefits.

Greenville was an early adopter of GIS technology in 1984 as the 26th ESRI customer.  With a commitment to use their GIS as a business system, City staff foresaw the benefits of a Computerized Maintenance Management System (CMMS) that worked in conjunction with their spatial data.  However, after implementing their first CMMS, City employees found they were working for the system rather than their system working for them.  Greenville retired the system and deployed a local system that promised GIS compatibility.  While still in the testing phase, City staff grew disappointed, finding issues with the product.  With both systems failing to provide what they were looking for, they turned to Cityworks and were excited about the GIS-centric approach it offered.

With budget constraints due to the failure of their preceding systems, the City was in a position that required a creative approach for configuration and implementation.  Working with Woolpert as their implementation partner, Greenville negotiated a scope of services for assistance with key aspects of development and approached the implementation using significant in-house staff resources with Woolpert’s assistance and interactive coaching.  The development schedule was planned in phases with technical on-site sessions strategically spaced throughout the implementation process.  The deployment team was able to get Cityworks in place in all areas within three months and the previous system completely offline within six months.  In addition, some advanced improvements to workflows were addressed during this phase.  Greenville was officially up and running with Cityworks in July of 2008.  Subsequent development phases continue to provide occasions to revisit options for additional uses even now that Cityworks is up and running.

“This approach was possible due to the flexible nature of Cityworks which has proven to be a real advantage,” states Michael Davis, GIS Analyst at the City of Greenville.  “Our experience inGreenville with the Cityworks work management system has resulted in immediate improvements to our internal workflows and subsequently in the City’s overall effectiveness at maintaining and reporting on our assets.  Its flexibility allows future expansion to effectively manage a wide range of operational activities as well as improved access to information critical toGreenville’s future development and growth.  Cityworks continues to prove itself to be the right choice for the City of Greenville.”

“Greenville came from the difficult background of having disappointing experiences with other software programs,” recalls Brian Haslam, President of Azteca Systems.  “We were very happy they allowed us the opportunity to deploy Cityworks and help them customize their implementation to fit the City’s unique and specific needs.  The inherent flexibility of Cityworks gives our users the opportunity to take our software and run with it, producing immediate and lasting benefits and while others offer the promise of GIS integration, Cityworks remains the only GIS-centric solution.”

About Greenville, SC

Located in the northwest corner of South Carolina, Greenville is situated at the foothills of the Blue Ridge Mountains, commonly referred to as the “Upstate.”  As the fourth largest city in the state, Greenville has nearly 60,000 residents and covers approximately 28 square miles.  Greenville is the cultural and entertainment center in the Upstate with its award-winning downtown, a major performing arts center, a 17,000-seat arena, and a 368,000-square-foot exhibition center.  Home to internationally recognized industries and a strong workforce, the city is poised to become even more of a leader in the 21st-century economy.

Cityworks Proves Flexible and Effective for Mesa, Arizona

Last updated: Wednesday January 27th 2010

Software Rolled Out Across City Enterprise with Great Success

Sandy, UT — The City of Mesa, Arizona, is experiencing numerous improvements across-the-board as a direct result of implementing Cityworks, by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  Teaming with Azteca Business Partner Motorola, Inc., the City initially deployed the system in the Transportation Department and quickly recognized the many benefits the software provided.  Mesa soon expanded Cityworks across the organization enabling other departments to realize the same great results.

After months of deliberation on which asset management system would best meet their maintenance tracking and reporting needs, Mesa decided that Cityworks, coupled with the Motorola implementation team, would be their most effective solution.  In June of 2008, following a 22-week project implementation – completed on-schedule and within the allocated budget – the City’s Transportation Department successfully went live with Cityworks.  “Mesa’s commitment to the project and full participation throughout the implementation process enabled this initial deployment to be so successful,” adds Jeff Cegielski, Motorola’s CMMS Product Manager.  The initial system supports over 125 Cityworks users with 30+ service request types and 100 work order types.  Maintaining large quantities of infrastructure assets, the Transportation Department utilizes Cityworks Desktop and Storeroom to manage over 30 million square yards of paved roads, 10 million square feet of landscaping, 58,000 traffic signs, 1300 miles of street sweeping, and more.

The success experienced in the Transportation Department in its initial Cityworks deployment evolved into the City expanding the system into Mesa’s Utilities Department and an upgrade to a citywide site license.  In the spring of 2009, Cityworks was implemented throughout the Water Resources Department.  In addition, Cityworks has been integrated with the City’s Customer Information System (CIS) for the purpose of updating caller information through Cityworks service requests.  The initial implementation of Cityworks combined with its expansion into these various departments added hundreds of users to the system, demonstrating the overall effectiveness of Cityworks and its flexibility across multiple departments of an organization.

“It is a huge benefit to finally have a centralized system to track our maintenance operations,” says Derek Witting, Field Operations Superintendent for the Department of Transportation.  “The (Cityworks) system has enabled us to be more proactive in coordinating our activities and assists in identifying and avoiding conflicts.”

“Mesa has experienced benefits and improvements provided by Cityworks and grasped the concept of cross-departmental deployment,” states Brian Haslam, President of Azteca.  “Utilizing Cityworks across the board results in tasks and work being performed smoothly as staff are working off one unified system.  The great thing is that Cityworks has the flexibility of being deployed in various departments at once, or at a slower pace with one department at a time, with both approaches being equally effective.  The software truly works in whatever way an organization needs for it to best fit their needs.”

About the City of Mesa

As Arizona’s third largest city and the nation’s thirty-eighth largest city with a population of about 463,000, Mesa is one of the nation’s fastest growing cities.  Located in Maricopa County, the City provides the advantages of a thriving metropolis while maintaining the welcoming feel of a suburban environment.  Just 15 miles east of Phoenix, Mesa covers 132 square miles.  With dynamic recreational, educational, and business environments, Mesa enjoys the best in a variety of amenities including parks within easy walking distance from home, a variety of sports facilities that cater to athletes young and old, highly rated golf courses for every skill level, a diversity of special events and community festivals, and Mesa’s ever-popular Chicago Cubs Spring Training baseball.

Cityworks Utilized Organization-Wide at Dublin, OH

Last updated: Wednesday January 20th 2010

Software Helps Generate Accurate, Useful Data Management

Sandy, UT — Embracing their new work management system as the means by which they have improved workflow and collected more accurate and meaningful data, Dublin, Ohio, is pleased with Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  Having implemented the software in various departments, the City recognizes the benefits of Cityworks’ GIS-centric approach and the organization-wide benefits it provides.

In December of 2005, Dublin re-evaluated the CMMS (Computerized Maintenance Management System) currently in use by their Public Services division and determined that to continue the use of the product would put a strain on City resources without producing viable results.  With the goal of implementing a solution that utilized a single centralized system for asset data, work order data, and resident data, Dublin discovered Cityworks would fulfill all their requirements for a new CMMS.  Having a well-established GIS in place, Dublin already had much of their asset inventory in their geodatabase.  Embraced as the new citywide solution from the beginning and rolled out across many work units at Dublin simultaneously, Cityworks was viewed as a way to improve communication about work processes and City assets across divisions.

“Dublin has realized many benefits from our move to Cityworks,” says Project Leader Maria Renzetti, Cityworks Project Leader at the City of Dublin.  “Facilities staff have benefitted from the use of cycles in planning their PM work.  Frontline call takers have better resources at their fingertips for handling requests of all types.  The management of Solid Waste programs has been simplified and we have better info about our sewer infrastructure today.  Most telling is the fact that requests for reports have increased significantly, as management realizes the benefits of more accurate and useful data.”

“Dublin is a great example of a solid Cityworks client who has grasped the concept of GIS-centric, enterprise implementation and the benefits that come from that,” states Brian Haslam, President of Azteca Systems.  “The unique GIS framework of our software combined with its superior work management capabilities creates a limitless range of possibilities for clients to customize the system to best fit their individual needs.”

Dublin recently hosted a Cityworks Server MMS Roll-Out Seminar.  They are considering an upgrade to Server MMS in the future to support a more mobile work force.

About Dublin, OH

Surrounding the Scioto River in the northwest area of metropolitan Columbus, the City of Dublin is one of the fastest growing suburbs in Ohio with a population of about 32,000 as of the 2000 census.  In 1970, Dublin was still a small town with only 681 residents, but with the construction of Interstate 270 came a population boom and the acquisition of major corporate headquarters such as Ashland, Inc. and Wendy’s International.  In addition, the growth of the Muirfield Village Golf Club and its residential subdivision attracted a large number of affluent citizens to the rapidly growing suburb.  After reaching a population of 5000, Dublin was officially declared a city in 1987.  Each spring the city hosts the PGA Memorial Tournament.  With three additional golf courses in town, a large number of golf enthusiasts have chosen to make Dublin their home.

Cityworks Helps South San Francisco Surpass State Sewer Mandates

Last updated: Thursday December 03rd 2009

City Moves from Paper to a CMMS and Realizes Significant Cost Savings Their First Year

Sandy, UT — The City of South San Francisco, California, is utilizing Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions, to fulfill storm and wastewater mandates set by the state ofCalifornia.  As a result, the City not only met but now exceeds these requirements.  The City has experienced many positive results transitioning from a paper-based system to a computer maintenance management system (CMMS).  Their success and significant cost savings led to plans to further extend Cityworks throughout the organization in the near future.

Previous to their Cityworks implementation, the City of South San Francisco was working in a paper environment managing and tracking everything on paper – a time-consuming and error-prone process.  In 2007 new state mandates required the City to track and document sewer and storm drain infrastructure or face a considerable fine.  Having no CMMS or tracking system for environmental compliance, the City began searching for a solution to their documentation crisis and to meet the new requirements.  Cityworks was selected by the City IT Director, Doug Hollis, as the solution to best meet their immediate needs and, in addition, vastly improve and expand the City’s tracking of daily work and reporting capabilities.

Cityworks has been up and running for about a year in the Public Works Department, providing measureable results and exceeding staff expectations.  Within Public Works, the Electrical Division runs Cityworks to manage all electrical maintenance throughout the city while the Parks and Recreation Department recently completed implementation.  The City has plans to bring the Water Quality Plant and Motor Pool Division online in the near future.

South San Francisco has realized significant cost savings as a direct result of their Cityworks/GIS implementation.  So much so, that a group of City employees – Ray Razzavi, City Engineer; Justin Anderson, GIS Consultant; and Doug Hollis, Director of IT – will present to the GIS council about the significant fiscal savings the City has realized because of their new system.  More importantly, the City met its original goal in providing internal and statewide reporting.  The state of California recently reported the City has surpassed mandates and exceeded their expectations.

“This is a great story of how our City departments came together, funded a project, and provided support with everyone embracing its use,” states Doug Hollis, Director of IT at South San Francisco.  “Cityworks and ESRI’s GIS working together have accelerated the quality of work performed within the City immensely.  Most of the City has gone from paper to electronics in just one year.  We are all completely ecstatic about our use of Cityworks and GIS.  Having a vision for the organization and being able to leapfrog two jumps ahead of where we were is awesome.  We are very pleased, no question about it.”

“South San Francisco is representative of why we are in business – to help people do their jobs easier, meet their needs, and experience fast, beneficial results,” states Brian Haslam, President of Azteca Systems.  “Their enthusiasm for Cityworks is no doubt exciting as is a regulatory agency like the state of California expressing their admiration with the City’s results – and in such a short amount of time.  The combination of Cityworks and GIS consistently produces the same great benefits – how two business functions are brought together within a single, intuitive environment.”

The City of Midland, TX, Reports Outstanding Results with Cityworks

Last updated: Tuesday November 10th 2009

City Offers Enthusiastic Feedback of Recently Implemented CMMS with Plans to Further Expand

Sandy, UT — The City of Midland, Texas, implemented Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions, utilizing the software in various departments across the City with outstanding results.  Extremely satisfied with Cityworks and its GIS compatibility, the City plans to further expand the software throughout their organization.

Dissatisfied with their previous system, Midland made the decision to select a new CMMS (Computer Maintenance Management System) in late 2006.  The City received three proposals and following an in-depth review and presentation from each company, the selection team agreed that Cityworks offered the greatest value, expandability, and GIS compatibility.  In August of 2007, the City awarded a contract for the implementation of Cityworks to Azteca Systems and Azteca Business Partner, NTB Associates, Inc.

The City of Midland’s Utilities, Transportation, and Traffic Engineering Divisions utilize the Cityworks software to care for critical assets and to track work performed.  Servicing over 35,000 customers, the Utilities Division uses Cityworks to manage a water distribution system and wastewater collection system encompassing numerous assets, including hundreds of miles of pipelines, thousands of fire hydrants, several enclosed storage facilities, pump stations, a treatment plant, and over 40 production wells.  The Transportation Division responds to numerous maintenance tasks utilizing Cityworks, such as street repair, flooding, traffic signal malfunctions, and many others.  Technicians within the Traffic Engineering Division also use Cityworks to manage tasks like checking for sightline obstructions of signals and signs, conducting studies of pedestrian and vehicle flow patterns, and installing and maintaining all traffic control devices.

“From my involvement with Azteca and Cityworks throughout the planning and implementation process, I believe the only thing better than Azteca’s marketing, project management, and technical coordination is the Cityworks software itself!” exclaimed Bill Hodge, GIS Division Manager for the City of Midland.  “Our first-round implementation within Transportation and Utilities was the beginning of a true enterprise use of the Cityworks asset management software within the City.  I have already started planning an expansion of my GIS capability to match the anticipated increase in Cityworks usage as other departments start to see the productivity increase that can be realized through this great product.”

“We are truly pleased with Midland’s excitement and satisfaction with Cityworks,” stated Brian Haslam, President of Azteca Systems.  “It is certainly nice to hear Bill’s comments as we continually recognize the importance of meeting the expectations of our clients with good, solid software and the best technical service.  For Azteca, the focus is on customer satisfaction – from first contact through the implementation process to ongoing technical support and the continuing development of better software.  Moreover, we work hard to keep our outstanding business partners like NTB Associated educated, knowledgeable, and up-to-date so they can deliver with the same capabilities.”

The City of Redlands, CA, Executes Remote Implementation of Cityworks

Last updated: Tuesday October 27th 2009

City Realizes Benefits of Remote Implementation and Cityworks’ GIS-Centric Nature

Sandy, UT — The City of Redlands, California, recently completed a remote implementation of Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions, and was pleased with both the ease and convenience in completing the process.  Selecting Cityworks because of its inherent GIS compatibility, Redlands states that both the benefits of the software’s GIS approach and the success of their remote implementation have contributed to their initial and continuing satisfaction with the product.

Azteca Systems provides two implementation methods to assist clients with the deployment of Cityworks — standard implementation and Remote Implementation Support (RIS).  In the RIS approach, an Azteca Project Manager meets with the organization’s representative through a series of webcast meetings to implement the Cityworks software.  In May of 2008, Azteca began an RIS of Cityworks at the City of Redlands for the Quality of Life and Municipal Utilities & Engineering Departments.  Redlands selected Cityworks to assist in reduced spending and increased efficiency of work crews.  With an already mature and developed GIS, the City realized the benefits that only Cityworks, being GIS-centric, could provide.

“Cityworks is the perfect solution for us to incorporate GIS users from customer service to supervisors to line-level operators,” stated Phil Mielke, Interim GIS Administrator at the City of Redlands.  “Information is easily accessible and delivered through a clear and easy-to-use interface.  Reports give decision makers the information they need to be able make informed decisions about where work is being done, what materials are used, and how much money is being spent for work orders grouped by any date interval required.  Cityworks saves the City of Redlands money and is a great way to make the power of GIS accessible to a broader group of users.”

Beginning their RIS, Redland’s project outline was provided.  Each week web meetings hosted by Azteca Project Manager, Matt Harman, via the GoToMeeting software produced by Citrix Systems trained staff on how to configure the Cityworks topic for that week.  The live interaction allowed more effective training so that as the project progressed, the staff gained the knowledge necessary to perform the remaining tasks to complete the configuration of the software.

“The web meetings via GoToMeeting were so convenient and very helpful during the implementation process of Cityworks,” said Marc Rolle, Database Analyst at Redlands.  “There was no lag in connectivity whatsoever!  Having the capability to view each other’s computer screen makes it much easier to learn the system remotely.  It seemed as if Matt was sitting next to me showing me what to do.  Also, we were able to record the meetings (both audio and visual), so if we need a refresher of how to do things, we simply go back to the recordings and follow the step-by-step solutions that Matt illustrated to us.”

At this time, Redlands is currently running live with service requests and are in the final stages of completing their work order implementation, the majority of which they were able to complete themselves due to the training Mr. Rolle and other staff members received via the RIS sessions.  In finalizing the plan to “Go Live” with work orders in the near future, Redlands now has a base of knowledge to implement additional departments as time permits over the coming months.  At a later date, on-site training will be conducted for the remaining end users.

“Redlands has experienced a successful remote implementation of Cityworks along with many of our users,” states Brian Haslam, President of Azteca Systems.  “RIS is an excellent option for municipalities looking for a cost-effective and hands-on implementation of Cityworks.  We realize this is an excellent, ideal option for many users and hope to see it utilized more and more in the future.  In addition, we are always pleased when a client who fully appreciates the benefits of GIS discovers our software, reaping the benefits Cityworks provides being the only fully GIS-centric product available.”

About Redlands, California
Redlands is a city of approximately 70,000 nestled in the San Bernardino Mountains in the Inland Empire of Southern California.  Known in 1900 as “The City of Millionaires” and later as “The City of Beautiful Homes”, Redlands is a quintessential big town with a small town feel.  For much of its history it was the Washington Navel Orange growing capital of the world with the citrus industry as the main focus of its economy.  Over the years the economy has changed but the small town feel of the community remains with beautiful historic buildings and locally owned shops and boutiques scattered throughout the city.  Redlands is home to a number of leading businesses including Azteca Systems’ business partner ESRI (Environmental Systems Research Institute) with its worldwide headquarters and learning center campus located in the city.

Cityworks Being Utilized for Significant Projects in Australia

Last updated: Wednesday September 02nd 2009

Sandy, UT — Two project sites in Australia, The Parklands Foundation and Theiss Corporation, have selected Cityworks for their asset and maintenance management needs, being the first in the country to utilize the software by Azteca Systems, the leading provider of GIS-centric management solutions.  Both are large, significant projects where Cityworks will be used to meet the individual needs of the agencies to manage infrastructure assets and maintenance while leveraging each organization’s use of GIS.
The Parklands Foundation became the first Cityworks site in Australia to provide GIS services to its parent organization, the Sydney Olympic Park Authority (SOPA).  SOPA’s mission is to promote the recreational, historical, scientific, educational, and cultural value of the Parklands.  In an agreement between the Parklands Foundation and SOPA stakeholders, the Foundation provided Cityworks to SOPA, initially focusing on Sydney Olympic Park’s wetlands as part of an effort to protect, maintain, and enhance the park.  Contracted by Azteca International Distribution Partner, gViz, Cityworks fit Parkland’s needs of managing the wetland asset inventory, reporting of the KPI’s associated with the wetlands, and providing capabilities to manage all asset work activities and contractor management associated with the wetlands.

David Kirkland, Knowledge Manager at the Parklands Foundation said, “Cityworks, being an ESRI extension, is a logical and powerful solution for us.  The Parklands Foundation and SOPA are longtime users of ESRI technology and we already have our asset data in our GIS.  Cityworks provides us with the increased value from our GIS from which we can now deliver day-to-day operational management of Sydney Olympic Parks.”

Thiess Corporation, an Australian construction and mining company, has also chosen Cityworks to manage the largest infrastructure project in Australia – the $4.8 billion Brisbane Airport Link roadway project.  As the most significant infrastructure program in Australia and part of South East Queensland Infrastructure Program and Plan (SEQIPP), the project intends for Cityworks to manage assets both during construction and afterwards for the operational maintenance of the road corridor from Brisbane Airport to the CBD.  Being a GIS-centric system, Cityworks is easily integrated into all GIS operations at Thiess maintaining the site’s project asset inventory.  Management of the asset inventory will enable Thiess with the knowledge of where assets are being built and the equipment, labor, and materials being used, providing tighter fiscal control on operations and better tracking of where costs are being incurred – knowledge which is vital to the ongoing maintenance and valuation of the assets.  All costs associated with the development and maintenance of this infrastructure will be easily available throughout the organization through Cityworks, providing transparency and accountability in the successful management of Queensland’s most significant infrastructure project.

“We are excited that Parklands and Theiss have selected Cityworks for their asset and maintenance management needs,” states Brian Haslam, President of Azteca Systems.  “Cityworks’ GIS-centric approach is just the program to provide effective infrastructure management for these large-scale projects – before, during, and after.  With its flexible nature, Cityworks can easily be utilized for small-scaled municipalities and is just as easily adaptable for large organizations and their various asset and maintenance management needs.”

Fulton County, GA, Public Works Implements Cityworks

Last updated: Wednesday June 17th 2009

Cityworks Key to Department’s Success and Enhanced GIS

Sandy, UT —The Department of Public Works in Fulton County, Georgia, experienced numerous improvements and dramatically enhanced the use of their GIS as a result of implementing Cityworks by Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  With improved customer service and department efficiency, the County has achieved their goal of attaining a higher level of GIS use while looking at further expanding the software into other departments.

Fulton County’s Public Works Department selected Cityworks as part of an enterprise solution that features integration between Cityworks, Advanced Utility Systems’ (AUS) CIS Infinity®, and Tele-Works’ Interactive Voice Recognition® (IVR) software.  Cityworks builds on the Department of Public Works’ existing ESRI® infrastructure geodatabase, which houses the asset inventory data.  This is a key element in achieving the County’s goals of delivering a higher level of service through improved work order and asset management and is consistent with the County IT Department’s strategic plan to broaden and enhance the use of GIS in the County.  Cityworks is the only fully-integrated maintenance management solution that directly utilizes the geodatabase in real-time, from initiating work and connecting assets with spatial data to displaying the total cost of ownership with the accompanying projects, resulting in the effective use of the GIS and an overall improvement of the GIS data.

As work history and historical data are critical to improving work processes, Cityworks provides the department a system where data is used from customer setup through service activities, troubleshooting, and after-hours calls, allowing users to perform both reactive and preventative asset maintenance.  The County’s integration with Storeroom, the Cityworks warehouse inventory system, further enhances the repair and replacement of materials, contributing to the preservation of assets in problem areas.

Chris Browning, Assistant Director at the Fulton County Department of Public Works, remarks, “Cityworks allows us to manage our business effectively and efficiently without changing our processes to fit the software.  We will have a fully integrated system specifically developed for the management of utilities that is easily configured to match our way of doing business.”

With substantial and sustained improvements in hand, the County is looking to expand Cityworks into new areas of the organization, such as the Department of Transportation for managing streets, signs, and pavement maintenance activities.

“Fulton County’s experience is something we see time and time again after the implementation of Cityworks – immediate and solid results,” states Brian Haslam, President of Azteca Systems.  “Cityworks strengthens and builds an organization’s use of GIS by joining a common business practice – asset maintenance management – with an increasingly common set of valuable data – GIS (geodatabase).  We are pleased Fulton County recognized this from the beginning and are now reaping those benefits.”

About Fulton County, Georgia

Fulton County is the core county of the Atlanta metropolitan area and the most populous in the state of Georgia with the 2008 Census Bureau estimate of 1,014,932 residents.  The county’s total area encompasses 535 square miles and is located in the Georgia Piedmont near the foothills of the Blue Ridge Mountains with the Chattahoochee River forming its border from the northeast to southwest.  The twentieth century has seen Atlanta, and thereby Fulton County, become the leading distribution center for goods and services in the southeastern United States as well as a major national financial and telecommunications hub.

El Paso Implements Their Pavement Management Solution

Last updated: Friday April 24th 2009

Multi-faceted Solution Integrates MicroPAVER and ESRI’s ArcGIS Through the Use of Cityworks

Sandy, UT — Pavement management at the City of El Paso, Texas, is easier and more efficient today than ever before announced Azteca Systems, Inc., the leading provider of GIS-centric management solutions.  The City successfully implemented a GIS-centric pavement management solution, built around ESRI’s ArcGIS, Cityworks, and MicroPAVER.  The solution provides the City with a comprehensive, intuitive solution for multi-year pavement management.

With a population of 700,000, El Paso has more than 3,300 miles of paved streets and $2.5 billion invested in pavement alone.  To preserve such an investment, the City sought the most for their dollar in managing these assets.  Calling this project the Traffic Management Information System (TMIS), ESRI led the project with assistance from Transmap and Azteca Systems.  Transmap collected the field data including pavement distresses which were loaded into MicroPAVER, a pavement management software, to calculate Pavement Condition Index (PCI) of roads and recommend maintenance activities.  Cityworks is used to manage, schedule, and track the resulting work.  Information is passed between Cityworks and MicroPAVER through an interface which imports the asset information from Cityworks and the geodatabase into the MicroPAVER database and updates the geodatabase Condition field with the most current PCIs so that they can be displayed on the map.

“Good pavement management begins with a plan,” said Harold Kutz, P.E. for the City of El Paso.  “That plan illustrates different strategies to better allocate dollars routinely spent maintaining asphalt.  Our use of Cityworks, MicroPAVER, and ArcGIS has been very beneficial and has proven a solid solution for our pavement management needs.”

“The pavement management solution provided to the City has proven extremely beneficial,” states Steven Thomas, Senior Project Manager, Azteca Systems.  “The strengths of ESRI, Azteca Systems, and Transmap were all utilized in the solution to aid the City in obtaining pavement rehabilitation funding.  The GIS solution provided by ESRI was critical in providing the assets for both work order and pavement management, and in displaying the pavement conditions on maps.  Cityworks provided the tools to demonstrate the current efforts being made to manage the workload and the costs of that effort.”

Pavement analysis and reporting is an ongoing process from which the City benefits with timely, accurate information – predicting where, when, and which streets can be repaired or may be more cost-effective to replace, both now and in the future.

Bozeman, Montana Updates Maintenance Management with Cityworks

Last updated: Wednesday April 08th 2009

Sandy, UT — Previously operating a paper-based system to manage infrastructure and work maintenance, the City of Bozeman, Montana, made the transition to Cityworks, experiencing immediate results with a streamlined, automated processes.  Utilizing the software by Azteca Systems, Inc., the leading provider of GIS-centric management solutions, the City is now able to more efficiently manage resources, quickly retrieve critical data, and virtually eliminate the use of paper work orders.

Like many Cityworks clients, the City of Bozeman made the move to Cityworks from a paper-based management system where work orders were written on paper, shuffled among staff, and ultimately stacked away in a warehouse, making it nearly impossible to review past work history on assets.  Bozeman needed a more efficient way of managing this process and the ensuing data.  Recognizing their excellent GIS data which is heavily used by several City departments, citizens, and the greater Gallatin Valley area, finding an application that fully incorporated GIS into asset maintenance management was crucial to the staff and management.

Bozeman discovered Cityworks was a natural fit as the only GIS-centric maintenance management system.  The City made the decision to implement Cityworks in early 2008, holding their initial kickoff meeting February 18, 2008 and going live six weeks later.  Bozeman implemented Cityworks in four of the City’s divisions including Water and Sewer, Forestry, Streets, and Signs.  Running Cityworks Desktop and Cityworks Anywhere, ten of the City’s 17 licenses are dedicated to field use.  Employees at Bozeman have felt the positive effect that Cityworks has on their operations.

“Since our Cityworks implementation, the amount of paper I handle has been cut by 90%,” stated John Alston, Superintendant of the Water/Sewer Department at Bozeman.  “I like being able to look at the map at any time throughout the day and quickly see what outstanding work orders and service requests there are and their location without having to ask someone or go through a vast amount of paper to find out.”

Cityworks Anywhere has allowed City staff to better plan their work days.  John continues, “With rising fuel and labor costs, Cityworks allows us to schedule work orders in similar areas of the city rather than ‘bouncing’ all over the city throughout the day, especially for work like the Curb Box Program, fire hydrant and sewer flushing, and our water valve exercise program, to name a few.  I feel the Cityworks system has helped take our maintenance program up to a higher level of organization, and allow us to quickly access asset history at the touch of a mouse.”

“Organizations that understand the value of their GIS data, such as Bozeman, save time, money, and maximize resources,” states Brian Haslam, President of Azteca Systems.  “It’s exciting to see the results Bozeman has experienced and knowing this will continue to grow in the future.  Being the only maintenance management system that truly embraces GIS, Cityworks is the solution our clients choose to leverage their investment in GIS while also being a comprehensive system to manage critical assets and infrastructure.”

Azteca Systems Solidifies its Dedication to the Environment with Continuing Green Efforts

Azteca Systems Solidifies its Dedication to the Environment with Continuing Green Efforts

Eco-Friendliness Proves a Priority for Company and its Team Members

Sandy, UT — A company long dedicated to the environment, Azteca Systems announced today that it has further extended its efforts to be eco-friendly, officially “going green”.  The leading provider of GIS-centric asset maintenance management systems, Azteca and many of its employees have taken multiple steps in becoming more and more environmentally conscious over the years and have made recent strides in doing so.

Azteca Systems and its staff contribute to bettering the environment through many different avenues, both on larger and individual scales.   Recently recognized by Rocky Mountain Power for supporting renewable energy, Azteca received a certificate stating that in 2008 the company avoided the release of 1,454 pounds of carbon dioxide.   Azteca has switched light bulbs at company headquarters to CFC lights, a new compact florescent alternative that use less energy and lasts longer than traditional bulbs.  Recycling has long been in practice at Azteca where everything from paper, cardboard, aluminum cans, and plastic is recycled.  Paper and cardboard are taken to local schools for recycling which contributes to school fundraising efforts.   Under the supervision of Wayne Hill, Director of Client Support, Azteca has switched to online documentation, eliminating tens of thousands of printed paper used for manuals each year.

For the past three years Azteca has purchased annual public transportation passes for each member of its staff, making it possible for employees to utilize the TRAX Light Rail and local public transit system to commute to and from work and for other transportation needs.  In addition, Azteca has installed shower facilities on-site to encourage staff in riding bikes, running, and walking to work.  Reed Hayes, Senior Client Support Manager at Azteca Systems, rides the bus and TRAX to work year-round, along with a number of other staff members, and incorporates riding his bike into his routine during the summer.  Ryan Miller, Programmer at Azteca Systems, rides his bike to work nearly every day.

“I enjoy riding my bike to work and I realize the benefits it contributes to the environment as well as my personal fitness,” states Miller.  “It’s these small efforts we make in doing our part in bettering the environment.  I’m very impressed with the efforts Azteca makes towards being environmentally friendly and have noticed these efforts from recycling all recyclable products, to installing showers for staff’s use to support alternative commuting, to changing lights to CFC bulbs.”

“We’re fortunate to live in a place like Utah where the environment is something to behold and protect,” said Brian Haslam, President of Azteca Systems.  “We understand the importance of maintaining and bettering the world around us and realize the steps we continue to make is our responsible way of promoting eco-awareness in combination with a healthy organization.  The certificate we received from Rocky Mountain Power on renewable energy is a nice token of our efforts and we our proud to be part of the program.  It is these small things that, if we take part, contribute to the betterment of the environment.”

Cityworks Small Government ELA Expands into Agencies across the Country

Last updated: Monday February 09th 2009

Flexible, Innovative Program Offers Substantial Benefits to Cityworks Users

Sandy, UT — Small governments across the United States are signing up for the Cityworks Enterprise License Agreement (ELA) program offered by Azteca Systems, the leading provider of GIS-centric management solutions.  The option provides organizations enterprise-wide, GIS-centric asset maintenance management and permitting solutions for agencies with a population of 100,000 or less within a tiered, affordable pricing schedule.

Since the ELA option was introduced in April of 2008, numerous small government agencies have selected the program.  The list includes the cities of Edmond, OK; St. Cloud, FL; Rapid City, SD; O’ Fallon, IL; Suffolk, VA; Herndon, VA; Butler, IN; and Port Angeles, WA; the Town of Colonie, NY; and Noblesville Wastewater Utility, IN.

Technology provided under the Cityworks ELA includes up to a full suite of Cityworks products, product updates, and technical support.  Other benefits of the program include flexible deployments for desktops, web servers, and mobile devices and the unique opportunity of consolidating business processes and IT initiatives within a GIS-centric environment.  The Cityworks ELA is in alignment with ESRI’s Small Government ELA program, providing government agencies a way to deploy ESRI’s GIS and Cityworks in a timely and successful manner, offering improved efficiency and customer service while lowering costs.

“We have taken advantage of both the Azteca and ESRI ELA programs over the past year,” said Dan Gentry, Public Works Operation Manager at the City of O’Fallon.  “The ELA program is a great benefit to our organization allowing us to configure our operations according to hardware and work flow needs without having to worry about software license implications.  This means we can focus more attention on what we need to deploy rather than what we can afford to deploy.”

“The Cityworks ELA offers smaller agencies the benefits of leading solutions specifically designed for local governments,” said Brian Haslam, President of Azteca Systems.  “We are pleased that more and more clients are selecting this license option.  We introduced this option to help smaller governments save time and money when implementing Cityworks while leveraging their investment in GIS and extending their spatial data in daily business operations.  We are excited that customers are taking advantage of this option and hope that more will choose to utilize it as we are highly confident in the benefits and returns of this program.”

Cityworks is used by decision makers, management, field staff, and the public in more than 300 sites around the world and is available for desktops, mobile devices, and web deployments.  For more information about Cityworks and the new ELA option, visit www.cityworks.com.

2008 Proves a Strong Year for Cityworks

2008 Proves a Strong Year for Cityworks

Azteca Systems Continues to Expand Worldwide with Confidence in the Upcoming Year

Sandy, UT — Azteca Systems, Inc., the leading provider of GIS-centric management solutions, announced today that the company experienced another year of strong, stable growth through 2008.  Worldwide, forty-five new customers adopted Cityworks to manage assets, infrastructure, and property.  In addition, a significant share of existing customers further deployed Cityworks into new areas of their organization.

Cityworks’ powerful, yet easy-to-use management tools provide organizations the ability to manage and maintain assets, track customer issues, and improve workflow.  Built on ESRI’s ArcGIS software, Cityworks is the only software in its industry that fully takes advantage of GIS and spatial data to manage assets, giving agencies the ability to track critical data through maps and provide a complete solution for infrastructure needs.  Customers continue to express their satisfaction with Cityworks whether they are implementing for the first time, expanding to new departments and divisions, or have been using the GIS-centric application for years.

“From my involvement with Azteca and Cityworks throughout the planning and implementation process, I believe that the only thing better than Azteca’s marketing, project management, and technical coordination is the Cityworks software itself!” commented Bill Hodge, GIS Division Manager for the City of Midland, Texas. “Our first-round implementation within Transportation and Utilities is the beginning of a true enterprise-use of the Cityworks asset management software within the City.  I have already started planning an expansion of my GIS capability to match the anticipated increase in Cityworks usage, as other departments start to see the productivity increase that can be realized through this great product.”

Cityworks version 4.5 was released this year, offering new and improved functionality and deployment options.  With the introduction of Cityworks Server MMS – the world’s first browser-based, GIS-centric asset maintenance management system – users can now deploy Cityworks on their Intranet and throughout their enterprise while leveraging Azteca Systems’ unique Cross-Compatibility approach; using Cityworks Desktop and Anywhere for field, disconnected and/or remote users.  Cityworks Server MMS is implemented at various sites in the United States, with several more deployments underway.  In addition, Cityworks Permitting was introduced at the 2008 Cityworks User Conference, ushering in the first GIS-centric enterprise permitting solution.

In April, Azteca Systems announced the Cityworks Enterprise License Agreement (ELA) program in parallel with ESRI’s Small Government ELA, offering organization-wide GIS-centric asset maintenance management and permitting solutions for smaller agencies of 100,000 or less within a tiered, affordable pricing schedule.   June saw the 2008 Cityworks User Conference – the company’s highest attended and most successful to date – offering attendees technical workshops and user and partner presentations while highlighting the various functions of the software in a unique networking experience. The 2009 Cityworks User Conference will be in beautiful St. George, Utah, October 21-23.

“We experienced another remarkable year in 2008,” states Brian Haslam, President of Azteca Systems.  “We saw tremendous growth in our user base and as a company.  We are more involved in the global market more than ever before, with client’s spanning from Canada to India and South Africa to Sweden.  Our software and our people are the driving force behind our growth and corporate strength, and with the advent of our new Cityworks Server MMS and Cityworks Permitting products, we are confident that 2009 will continue to be yet another solid year for Azteca.”
